Share files in Google Drive - the 3 best tips
You can quickly and easily share files in Google Drive with others - we'll show you the top three tips in this article.
If there are several Google Drive files: Use folder
- If you want to share not just a single file, but several, it is best to create a folder and move the corresponding files into it. Then you can share the folder with permissions and save a lot of time and effort.
- The people you share this folder with have access to all of the files in the folder. In addition, you can inform people about the release by email
Visibility options for sharing Google Drive files
In Google Drive you can choose between three different visibility options. This way, you can only share the file (s) with certain people, anyone with the link, or publicly on the web. You can also set whether the people who have access to the share are only allowed to view or edit the file (s) (see picture). These are the differences between the visibility options:
- Public on the web: Everyone is authorized to search and access. These options are useful, for example, for a survey on a blog or website that was created with Google Docs. You can simply embed the link on your page and thus grant the visitors of your page access to the survey.
- Anyone with the link: Anyone with the share link has access. Registration for access is not required.
- Confidential: Only the relevant people for whom you explicitly share the link have access and need to register for this.
Add multiple people quickly by sharing with a Google Group
- In Gmail, you can merge contacts into Google groups. For example, you can divide your contacts into professional and private contacts. You can easily and quickly share the file (s) with a Google group, so you don’t have to add everyone individually.
- To share the file (s) with a Google group, enter the name of the group in the "Add people" field and select it. You can also email the people in the group about sharing.
A step-by-step guide on how to share files in Google Drive can be found here. By the way: Google Drive is also available as a desktop version. When you install it, a Google Drive folder is created on your computer. You can move files to or save them in this folder; these are then synchronized with Google Drive.
