Format transferred in Word, Powerpoint, Excel and Outlook
Sometimes you don't want to transfer the text in Office documents, only the formats. We present different ways for Word, Powerpoint, Excel and Outlook.
Keyboard shortcuts for format transfer in Word and Powerpoint
In Word and PowerPoint this is very easy with the extended key combinations [Ctrl] + [Shift] + [C] for copying and [Ctrl] + [Shift] + [V] for inserting formatting. Outlook also knows this option because Word serves as a text editor there.
Transfer format via ribbon
Alternatively, use the Word and Powerpoint ribbon:
- To do this, first click in the area with the desired formatting and then in the "Start" tab of the ribbon in the "Clipboard" area on the "Format" button shown with the brush symbol (see screenshot).
- Now click in the document in the paragraph to be formatted to apply the default. If you want to transfer the format to several elements, first double-click the button mentioned. Then the brush symbol on the mouse pointer remains until you exit the transfer mode by pressing the [Esc] key.
Format transfer in Excel
The situation is a little more difficult in Excel. The practical key combinations are missing here, but you can also use a sequence of access keys to execute the relevant command on the ribbon using the keyboard.
- To do this, copy the cell with the output format using the key combination [Ctrl] + [C]. Then click on the arrow on the »Paste« symbol in the »Clipboard« area in the »Start« tab of the ribbon.
- Now select the first symbol in the "Additional insertion options" area. You can also do this using the keyboard by pressing the [Alt], [R], [V] and [R] keys one after the other.
