Outlook: Highlight important emails in color
In Outlook, you can highlight important e-mails in the inbox slightly in color and thus get a better overview. For example, messages can be differentiated from private mails via a distribution list.
Differentiate between distribution emails and private emails
- Open the "Inbox" in Outlook and then "Tools"> "Organize". The "Organizing options inbox" area appears above your electronic mailbox.
- There you select the action "Use colors" and then in the combo box "Only messages sent to me in" the desired color for the display of the emails. Activate this function with "Switch on".
- To assign further formatting to message classes such as "Unread Messages" or "Expired E-Mail", click on the "Automatic Formatting" link on the right in the title bar of "Organizing Options Inbox".
- In the following dialog of the same name, activate and mark, for example, the entry "E-mail sent directly to me" and click on "Font". You can then change the font, style and size of the emails in the inbox in addition to the color, or even underline and cross out the relevant messages.
- Confirm your details with "OK". To deactivate the special display again, click on "Switch off" in the "Organize options inbox" area under "Use colors".
Note: You should make the settings
- In the "Automatic formatting" dialog, you can create additional message classes by clicking on "Add". Outlook then creates and marks a new list entry. Enter the name of the new class under "Name" and then use "Font" to define its appearance in the inbox.
- Finally, you use "Condition" in the "Filter" dialog to determine the various criteria for assigning emails to this message class. In the "Messages" tab, you can specify the sender and recipient and determine whether your address should be the only one or next to those of other recipients in the "TO" line or only in the "CC" line of the e-mail.
- In the "More Options" tab, you can filter the messages of a class for example by read or unread, with or without an attachment and "With importance". The "Advanced" tab gives you access to all attributes of an email. You can specify a "condition" and, if necessary, a "value" for each "field".
