Word: Save the file in two places at the same time
If you want to make a backup copy of a Word document, you have to save the file in two places at the same time. Neither Windows nor Mac come with this function on their own. In this practical tip, we present a free tool with which you can save a file at two different locations at the same time.
Step 1: Set up Word Add-In to save a file in two locations at the same time
- Download the free "Smart Tools Auto Backup for Word" and install it.
- During the installation you will be asked to request a registration code. There are no hidden costs from this step. All you have to do is provide your name and email address. You will then be sent the valid code to them.
- Then enter your email address to which you received the code and the code in the installation field (see picture).
- Confirm with "Next".
- In the next step, select your version of Word and click "Next" until the installation is complete.
Step 2: Select the location of the backup file of the Word document
- After installing "Smart Tools Auto Backup for Word", open Word.
- "Smart Tools" is now on the far right of the tab. Click on it and then select "Options".
- Now the options window for the tool opens.
- Under the tab "Configure backups" you can select the storage location for the backup.
- You can load it directly into your Dropbox, OneDrive or GDrive. You can also save the backup to your hard drive, external hard drive or a USB stick.
- If you want to create the backup on the hard disk or a USB stick, simply click on the folder with the green arrow on the right (see picture).
- Then select the desired path. In our example we chose drive "G" (USB stick).
- Finally click the "Close" button.
Step 3: Save the Word file automatically in a second location
- Now you can work with Word as you like.
- Whenever you manually save the Word document, a one-to-one backup is automatically created, the location of which you previously specified in step 2.
- In addition, a signal tone sounds when the backup has been successfully created.
