Edit Excel file together - so it'll work
If you want to work with your colleagues on an Excel file, problems and conflicts with Excel often arise. We will show you what you have to set so that the joint processing goes smoothly.
Share the Excel file for editing
Before you can work on an Excel file with several people, you have to release it. This allows any of the selected people to access the file and make changes.
- Open your Excel document and select "Share workbook" in the "Review" tab.
- A dialog window opens in which you must activate the checkmark for "Allow editing of multiple users at the same time". Confirm with OK.
- You will now be asked to save the file. You can select any location for this. After you have saved the file, you can see from the "Approved" lettering in the name of the document that it is approved.
Work on the Excel file with several users at the same time
You have now released the Excel file and prepared it for editing by multiple users at the same time. So that everyone can access this file, you should save it on an internal server or in the cloud, otherwise the file is only available on your computer.
- If several users have worked on the Excel file and saved the changes, you can see who made which changes.
- To do this, click on "Track changes" in the "Review" tab and then on "Highlight changes".
- In the dialog window you can now restrict which changes you want to highlight from which period, by which person or in which cell range.
- The changed cells are now identified by a colored frame. If you move the mouse over a cell, you will see which change was made by which person at what time.
